Payroll Administrator

 

Description:

We are seeking a detail-oriented and experienced Payroll Administrator to support full-cycle payroll operations. This role is responsible for the accurate and timely processing of bi-weekly hourly payroll, including unionized employees, while ensuring full compliance with all applicable federal and provincial regulations. The Payroll Administrator provides high-quality service and support to internal stakeholders while maintaining strict confidentiality and payroll controls.

 

Key Responsibilities

  • Efficiently and accurately complete all payroll activities within established timelines
  • Utilize the Division’s Enterprise Resource Planning (ERP) systems to monitor employee schedules and proactively collaborate with internal teams to correct and record payroll-related activities
  • Review work schedules, including averaging arrangements, to determine employee eligibility for overtime and update pay accordingly when overtime is billable to clients
  • Verify and enter additional pay items such as per diems, vehicle allowances, mileage, accommodation, cell phones, and other applicable allowances
  • Generate routine and ad hoc payroll reports to proactively identify issues and work with stakeholders to resolve discrepancies and update timecard information
  • Prepare and manage Records of Employment (ROEs) and other government-mandated filings
  • Maintain accurate, confidential employee and payroll records
  • Ensure strong internal controls, documentation, and audit trails for all payroll processes in compliance with internal policies and external legislation
  • Support year-end payroll processing, reconciliations, and reporting requirements
  • Provide superior customer service and guidance to internal stakeholders regarding payroll inquiries, processes, and best practices
  • Perform additional duties as required

 

Qualifications & Requirements

  • Education in Accounting, Finance, Business Administration, or a related field (preferred)
  • PCP (Payroll Compliance Practitioner) certification or actively pursuing PCP (preferred)
  • 3–5+ years of payroll experience, ideally within a similar or unionized environment
  • Strong knowledge of payroll legislation and compliance requirements
  • High attention to detail and strong organizational skills
  • Excellent communication and customer service abilities
  • Ability to manage multiple priorities and meet strict deadlines
