Description:
The Sales Coordinator supports a team of Account Executives by managing administrative, operational, and coordination tasks that keep campaigns running smoothly. This role plays a central part in connecting Sales, Operations, Marketing, and Finance—ensuring campaigns are executed accurately, efficiently, and on time.
Key Responsibilities
Sales & Administrative Support
- Support up to three Account Executives with day-to-day administrative needs
- Assist in the development of proposals, presentations, and sales materials
- Maintain CRM systems (ie. HubSpot/Salesforce), ensuring accurate and up-to-date records
- Prepare sales reports, pipeline updates, and performance summaries
- Coordinate contract processing and documentation
Campaign Coordination & Execution
- Coordinate campaign launches, creative submissions, and trafficking
- Partner with Operations and Digital teams to ensure smooth execution
- Track campaign progress and communicate updates proactively
- Assist in troubleshooting campaign issues and responding to client inquiries
Client Support & Communication
- Serve as a secondary point of contact for client-related requests
- Support campaign recaps, reporting, and proof-of-performance delivery
- Help drive client satisfaction, retention, and account growth
Cross-Functional Coordination
- Facilitate communication between Sales, Marketing, Operations, and Finance
- Track approvals, timelines, and deliverables across departments
- Support landlord approval processes where required
Photography & Asset Coordination
- Coordinate photography scheduling and track delivery timelines
- Manage and organize photo and asset libraries
- Collaborate with Marketing to deliver proof-of-performance materials
Qualifications
- 2–5 years of experience in sales coordination, media, advertising, or client service
- Strong organizational and multitasking skills with high attention to detail
- Proficiency in Excel and experience with CRM systems like HubSpot or Salesforce
- Strong communication and relationship-building abilities
- Interest in pursuing a career in advertising sales
- Experience in OOH, media, or digital advertising is an asset
- Photography skills are considered an asset
- Valid driver’s license and access to a vehicle is an asset, but not required
