Willowgrove Bookkeeper

 

Description:

Specific Bookkeeper duties include:

· provides all operational financial services for the organization

· maintains the computerized accounting system (QuickBooks)

· posts all financial transactions to accounting program ledger

· reconciles bank statement with accounting ledger on a monthly basis

· administers payroll for administrative staff and approximately 160 seasonal camp staff, calculates deductions, prepares records of employment & remits source deductions to Revenue Canada in a timely manner

· issues tax T5, T4 &T4A forms

· issues donation receipts

· completes annual Charitable filing with Government

· prepares monthly financial report due by the third Thursday of each month.

· prepares monthly Profit / Loss statement for the Board Treasurer and Executive Director with explanations

· performs monthly and yearly reconciliations

· fiscal year end work to close books including working with the accountant/auditors on the financial part of the review of Willowgrove’s financial position, which includes preparing Balance Sheet reports for auditor’s use & then entering the auditor’s adjusting entries.

· HST filing

· keeps postal machine updated

· keeps Credit Card machine updated

· coordinates banking, monitor line of credit, and recommend short term investments to Executive Director

· assists E.D. with annual Budget preparations, enters approved budget into accounting system

· works with Program Directors regarding questions on receivables and payables

· maintains employee Benefit plan

· maintains RRSP/pensions plans

· assists with fundraising events; regarding what is receiptable, preparing charitable receipts for the eligible amounts

· calculates Workplace Safety & Insurance premiums and remits monies on a monthly basis

· maintains property & liability insurance by keeping brokers informed of any changes

· works with the Grant and Fundraising Coordinator supplying approved invoices for reconciliation reports

· works with Program Directors and Managers to ensure the bookkeeper is aware of program developments

· monitors pertinent legislative changes ensuring financial and payroll system compliance, prepare necessary reports

· other duties as related directly to the finances of Willowgrove

Required Skills and Experience:

· Proficiency in QuickBooks accounting software with at least 5 years of hands-on experience

· Proven experience in bookkeeping or accounting roles

· Strong attention to detail and accuracy

· Excellent organizational and communication skills

· Proficiency in English

· A Police Clearance / Vulnerability is required for the position
