Description:
Queen’s University is seeking a dedicated Student Service Coordinator to join the Office of the Registrar in Kingston, Ontario. The role is centered around delivering outstanding support and guidance to students, prospective students, families, alumni, faculty, and staff across a wide range of student services including admissions, course enrolment, student accounts, financial aid, exams, transcripts, and graduation processing.
The Student Service Coordinator acts as the first point of contact for inquiries, providing front-line assistance in person, online, by phone, and via email. This position requires strong problem-solving and critical-thinking skills, as staff are empowered to exercise judgment in resolving student issues efficiently, with a focus on enhancing the overall student experience.
Key Responsibilities include:
Serving as the first point of contact for Undergraduate Admission and Recruitment (UAR) and Office of the Registrar (OUR) inquiries.
Supporting students, families, faculty, and staff by triaging inquiries and resolving issues promptly.
Providing advice and information on admissions, registration, financial services, academic records, and related processes.
Collaborating with other departments and subject matter experts when issues require further resolution.
Maintaining up-to-date knowledge of university policies, regulations, and services.
Assisting with processing custom letters, student cards, transcripts, and diploma production/distribution.
Supporting university-wide events such as convocation, orientation, service fairs, and recruitment events.
Identifying service gaps, recommending improvements, and enhancing student support processes.
Providing guidance and oversight to work study students or casual staff.
Education & Experience Requirements:
A two-year community college diploma or equivalent combination of education and experience.
2–3 years of related experience in academic or student service environments.
Strong communication, problem-solving, and interpersonal skills.
Ability to manage a high volume of student interactions with professionalism and accuracy.
Knowledge of relevant legislation including Employment Equity, Human Rights, AODA, Treaties, and sexual violence legislation.
Experience working in diverse, inclusive, and multicultural environments is highly valued.
Additional Information:
This is a continuing, full-time position (35 hours/week, Monday–Friday) under USW Local 2010 Support Staff. The role falls under Grade 06 of the university’s pay scale.
