Description:
Ontario Teachers’ Pension Plan (OTPP) is seeking a highly skilled and proactive Senior Executive Assistant to support the Chief People Officer and the broader leadership team. This is a full-time 18-month contract role offering an exciting opportunity to work at the heart of a globally respected pension fund, providing high-level administrative, organizational, and operational support.
The ideal candidate will be a seasoned professional who excels at managing complex schedules, coordinating executive communications, and ensuring seamless execution of priorities in a dynamic and fast-paced environment. This role offers direct exposure to senior executives, high-level operations, and critical business initiatives.
Key Responsibilities:
Provide direct administrative support to the Chief People Officer, ensuring she is well-informed of commitments and priorities.
Manage complex and dynamic calendars, balancing organizational and divisional priorities.
Handle urgent matters expeditiously while maintaining discretion, confidentiality, and professionalism.
Coordinate and support board meetings, internal leadership meetings, and external stakeholder engagements.
Prepare, edit, and finalize documents, reports, and presentations, often under tight deadlines.
Organize domestic and international travel itineraries and related logistics.
Oversee event and meeting planning, including budgeting, catering, and logistics.
Support divisional budget processes and expense reporting.
Serve as liaison between the Chief People Officer, board members, internal stakeholders, and external partners.
Collaborate with other administrators to ensure consistency across the People & Culture division.
Build strong relationships across the organization to facilitate effective communication and decision-making.
Perform additional executive support duties as assigned.
Candidate Requirements:
Minimum 10 years of executive-level administrative support experience.
Strong proficiency in MS Office (Word, Excel, PowerPoint) and ability to adapt to new technologies.
Demonstrated ability to manage projects and prioritize competing demands.
High level of discretion, judgment, and confidentiality.
Excellent communication, diplomacy, and interpersonal skills.
Strong organizational and time management skills, with ability to multitask in a fast-paced environment.
Experience managing executive calendars and anticipating business needs.
Flexible, proactive, and willing to provide support outside normal business hours if required.
Legal entitlement to work in Canada is required.
