Receptionist

 

Description:

The Mayor's Office requires a self-motivated individual to provide general reception and administrative support services. The successful candidate will be responsible to:

  • Answer incoming phone calls, respond to or forward to the appropriate area or staff member for further follow-up.
  • Welcome visitors and meeting guests in person
  • Check daily schedule for meetings in the Mayor’s Boardroom/Office and ensure setting up and tidying between meetings
  • Clerical and administrative duties includes: contacting building maintenance and custodial services, faxing, mailing, photocopying, subscriptions etc
  • System (tracking database that identifies issues) for response by COE administration or for future data retrieval.
  • Assist Strategic Coordinator in administrative duties related to major events
  • Clerical tasks such as filing, preparing letters and mailing out or emailing as required
  • Provide back-up support to the Scheduling Coordinator and Citizen Relations & Administrative Coordinator as required
  • Perform other related duties as required

Qualifications :

  • Completion of a high school diploma or completion of an appropriate certificate program from an approved business school/college, supplemented by training in basic microcomputer applications and a minimum of two years related work experience.
  • Excellent verbal communication skills including the ability to deal with the public in a professional and courteous manner
  • Excellent written communication skills ensuring accuracy in spelling, grammar and punctuation
  • Demonstrated strong organizational, time management and multitasking skills, including the ability to handle large volumes of work and sensitive timelines
  • Ability to handle conflict and demonstrate effective listening skills
  • Demonstrated ability to handle and work with confidential information
  • Demonstrated initiative, resourcefulness and the ability to work independently within established policies and procedures
  • Excellent computer proficiency using Microsoft Word, Excel, Outlook, and Google products for word processing, database management and calendar management
  • Experience with POSSE is an asset
  • Ability to work effectively with diverse groups demonstrating exemplary interpersonal skills
  • Relevant political and media experience is an asset
