Description:

  • in the morning for emergencies
    • Coordinate all outgoing and incoming inter-city couriers
    • Date stamp all incoming couriers received
  • Manage and coordinate access cards for visitors, consultants and new employees
  • Collate Welcome Package for new employees/consultants
  • Manage requests and distribute business cards, proactively start the process for:
    • New employee, title change
  • Update all staff changes including title and office moves
    • Phone List and Floor Plan for VETnet (Intranet)
    • Update staff contact information in Workday as required
  • Order in-house catering as requested
  • Order logo’d stationary for all Canadian offices
  • Manage distribution and inventory of taxi vouchers
  • Manage 310-MAXX building maintenance calls as required
  • Code all relevant invoices in Powervision (reception & mail room)
  • Print updates for Communication binders in meeting/work rooms when required and notify Office Services for distribution
  • Renew, cancel, trouble shoot, digital “paper” subscriptions
  • Maintain and continually update reception procedures manual electronically
  • Provide administrative support for corporate events (i.e. New Year’s Celebration) and other corporate activities as required.
  • Update staff contact information in Workday as required
  • Meet with Supervisor, Office Services weekly to ‘touch base’
  • Fire Warden duties as required
  • Manage Elevator Mat Services and Fire Extinguisher verification (Annually)
