The Administrative Assistant provides administrative support in the School of Journalism, Writing & Publishing. This position directly supports the Director of Journalism and the Department Administrator with clerical duties, and day-to-day help to students, faculty, and staff. This is a full-time permanent position.
They act as a primary point of contact for members of the public who may contact the School with offers of student employment, questions about published student work, and general inquiries. They will answer questions, manage calls, and email inquiries from students and direct them to appropriate resources within the School and the University. The successful candidate will also ensure full- and part-time faculty have access to the physical and digital resources they need to teach their courses.
They will administer the front counter of the school, which requires knowledge of policies and procedures for programs. The School of Journalism, Writing & Publishing, Administrative Assistant will receive and process requests to facilities staff for issues with Journalism classrooms and spaces; Administer mail, paper, supplies, photocopier and maintain the school lounge. They will collect and file syllabi, CVs (copy of syllabi to library), maintain bulletin boards, and manage room bookings for six classrooms. They will assist with class scheduling, minute taking, complete administrative duties pertaining to events such as student welcome letters, meet and greets assembling student accreditation cards, lanyards, name tags, administer food service orders and other duties as assigned.
The ideal candidate will have a Business/office administration diploma with a minimum of one year experience (or equivalent combination of training and experience). They possess strong computer skills with experience learning and using a range of software, particularly Office 365. Must have strong organizational skills an aptitude for independent work and an ability to manage frequent requests from a large community. Excellent interpersonal and customer service skills, and exemplary verbal and written communication skills are required. Must possess high professional and ethical standards in managing information and dealing with people as well as the ability to work collaboratively and courteously with colleagues.
