Property Administrator

 

Description:

  • Process invoices efficiently using Payscan.
  • Oversee rent collection, tenant statement of accounts, year-end adjustments, pre-bills, chargebacks, etc.
  • Coordinate, collect, and provide reports on all tenant billings.
  • Prepare necessary reconciliations for tenant accounts.
  • Assist in the review and delivery of year-end recovery adjustments and pre-bills.
  • Ensure timely delivery of statements in accordance with lease requirements and deadlines.Prepare and submit the Parking Lot report to the accountant.
  • Maintain and ensure the accuracy of tenancy information, including addresses, phone numbers, contact details, insurance, parking, and utilities.
  • Keep building information data up to date.
  • Ensure completeness and accuracy of all files, including electronic files, with valid and executed documentation.
  • Assist in handling inquiries from building operators.
  • Aid in the process of property certifications such as BOMA, LEED, WELL, etc.
  • Provide a high level of customer service to clients, colleagues, tenants, and other stakeholders requiring assistance.
  • Attend client, tenant, and contractor meetings as required.
  • Organize events for employees
  • Perform receptionist duties.
  • Serve as a backup to the Assistant Property Manager, including responsibilities such as sending out tenant bulletins and coordinating tenant events.

 

Key Requirements:

  • Post-secondary education required.
  • University or College degree preferred or working towards a degree; enrolment in financial courses desirable.
  • Working knowledge of MS Office applications required. Knowledge of Real Estate budgeting software such as REALM and CTI an advantage .
  • Good interpersonal, communication and team skills.
  • Aptitude for servicing tenants with the ability to see both the customer’s perspective and the impact on the organization.
  • Ability to multi-task and prioritize to meet changing demands and expectations of clients.
  • 2 to 3 years’ experience in a commercial property, preferably in operations or tenant management; interest in a Real Estate career path.
