Description:

The Project Assistant position at the University of St. Michael’s College (USMC), federated with the University of Toronto, is a one-year hybrid administrative role reporting to the Project & Operations Manager. This position plays a vital part in coordinating and supporting strategic and confidential initiatives within the Office of the Bursar & CAO. The role requires exceptional discretion, attention to detail, and professionalism in a fast-paced academic environment.

As a key liaison across departments, the Project Assistant will assist with a broad range of duties including committee coordination, executive-level communications, policy development, and institutional planning. The successful candidate will support sensitive projects, executive decision-making, and confidential documentation, ensuring a seamless flow of operations.

Key Responsibilities:

  • Coordinate confidential agendas, minutes, and reports for key committees such as the Finance & Audit Committee and Investment Committee.

  • Provide administrative support for labour relations documentation, internal policy development, and strategic institutional planning.

  • Track progress and deadlines across multiple institutional projects, liaising with leadership and providing regular updates.

  • Assist with executive-level research and preparation of briefing materials involving strategic or sensitive matters.

  • Manage office assignments and facilities coordination with discretion and tact.

  • Monitor compliance in campus parking and signage, and update wayfinding tools as needed.

  • Assist with annual events hosted by the Bursar’s Office and contribute to the promotion of campus merchandise.

  • Maintain and update the Bursar’s Office website and provide backup support for the Executive Assistant role.

Required Skills & Qualifications:

  • Bachelor's degree or equivalent combination of education and experience.

  • Minimum 2 years of administrative/project coordination experience; university environment preferred.

  • Demonstrated ability to handle confidential and sensitive matters with sound judgment.

  • Proficiency in Microsoft Office (Outlook, Teams, Excel, Word, PowerPoint, SharePoint).

  • Excellent organizational, communication, and interpersonal skills.

  • Ability to prioritize tasks, manage timelines, and adapt to shifting project requirements.

  • Experience supporting committees and working groups in a professional environment.

Compensation & Terms:

  • Annual salary range: CAD 68000 to 73000 (equivalent to CAD 5666 to 6083 monthly)

  • Pay Band: A2 (Non-Union)

  • Employment Type: 1-Year Term with possibility of extension

  • Job Type: Hybrid (35 hours/week; some evenings and weekends required)
