Description:
Indigenous Services Canada – First Nations and Inuit Health Branch is seeking highly organized and detail-oriented individuals to join their Business Management Unit (BMU) as Program Support/Administrative Assistants. These positions provide critical support in financial administration, travel coordination, scheduling, and records management to ensure effective program delivery and smooth operations within the organization.
Key Responsibilities:
Stores Team: Support financial and procurement operations by purchasing supplies, reviewing commitments, monitoring expenditures, processing invoices, and generating reports. Work extensively in SAP, GCDocs, and MS Office applications (Word, Excel, Outlook).
Time Keepers: Process overtime and daily attendance records for nursing staff in accordance with collective agreements. Work within Phoenix Pay System, MyGCHR, and other systems to manage schedules and attendance data.
Travel Team: Coordinate travel arrangements for nurses traveling to communities, including creating travel requests, liaising with HRG, and preparing expense reports by gathering receipts and supporting documents.
Provide overall administrative support to the BMU, ensuring deadlines are met in a fast-paced environment.
Assist in maintaining compliance with government standards, procedures, and reporting requirements.
Requirements:
High school diploma (or approved alternatives such as PSC testing or acceptable combination of education, training, and experience).
Demonstrated experience in providing general administrative services, including one or more of the following:
Coordinating travel and expense reporting
Scheduling for employees
Purchasing of supplies
Finance support
Proficiency with technology tools such as Microsoft Outlook, Word, and Excel.
Strong ability to prioritize tasks and meet deadlines while managing shifting priorities.
Strong communication skills in English (oral and written).
Personal suitability requirements: attention to detail, problem-solving ability, teamwork, initiative, client service orientation.
Asset Experience (Optional but Valuable):
Experience with SAP or other financial systems.
Experience working with or providing services to Indigenous communities.
Experience using travel systems such as HRG or Global Business Travel.
Experience with pay management systems such as Phoenix, MyGCHR, or Peoplesoft.
Conditions of Employment:
Reliability Status or Secret Security Clearance (depending on role).
Willingness to occasionally work overtime and flexible hours.
Pre-employment health declaration may be required for remote/isolated communities.
Compensation & Benefits:
Salary range CAD 55,955 to 60,399 annually (CAD 4662 to 5033 monthly).
