Program Coordinator

 

Description:

  • The Program Coordinator supports the coordination and administration of programs and infrastructure projects within the CFO Division. The role involves collecting and analyzing project-level data, producing program dashboards, supporting the Project Management Framework, overseeing consultant activities, and ensuring efficient coordination across departments involved in major capital and infrastructure programs.

Key Responsibilities:

  • Write briefing papers, business cases, submissions, reports, and presentations

  • Prepare RFPs and participate in consultant/contractor selection

  • Collect, analyze, and summarize project information; produce program-level reports

  • Prepare high-level schedules for program coordination and resource planning

  • Provide coordination advice to Project Managers

  • Oversee program-level planning, monitoring, risk management, and budgeting

  • Track action items, issues, and risks to ensure timely resolution

  • Administer consultant activities, progress checks, and reporting

  • Engage with internal VFPA departments to support coordination and resource management

  • Participate in stakeholder communication and consultation

  • Support development and delivery of the Project Management Framework

  • Prepare documentation, training materials, and support change management efforts

  • Assist project teams with framework adoption and troubleshooting

  • Identify and implement approved improvements

Qualifications:

  • University degree in civil engineering, business, or project management

  • Minimum 3 years related experience in complex infrastructure projects

  • CAPM or equivalent project management certification

  • Strong written and verbal communication skills

  • Advanced computer proficiency (Microsoft Office, SharePoint, Visio, database tools)

Additional Requirements:

  • Must maintain legal entitlement to work in Canada

  • Marine Transportation Security Clearance required

  • May be subject to background checks (criminal, credit, reference)
