Description:
We are seeking an organized, versatile, and motivated individual to join our team as a Plant Support Coordinator. Reporting to the Administrative Manager, the successful candidate will handle accounts payable support and various administrative tasks with autonomy and accuracy.
Main Responsibilities
- Prepare purchase orders and record goods receipt in the system.
- Analyze accounts payable to ensure payments are up to date and delivery timelines are met.
- Communicate with suppliers, respond to inquiries, obtain account statements, and correct invoices as needed.
- Assist with month-end closing (problem invoices, accruals for the closing period, etc.).
- Review, classify, and match invoices and administrative documents according to established procedures.
- Enter inventory adjustments in Microsoft GP and ensure daily recycling of inventories.
- Complete monthly statistical report for Canadian Millers.
- Manage office supply orders and inventory.
- Draft and distribute memos.
- Maintain seniority list of unionized employees and prepare internal correspondence.
- Update list of active grievances.
- Manage CHUBB access for employees, handle telephone orders, and maintain contact with telecom and internet providers.
- Coordinate logistics for internal and external corporate events.
- Assist the Administrative Manager with various tasks as needed.
- Follow up on health and food safety training for all employees.
- Enter safety observation statistics (SCORE program).
Essential Skills And Experience
- College diploma in administration or accounting, or 3 years equivalent work experience.
- Proficiency in Microsoft Office Suite (Excel, Word).
- Knowledge of Microsoft GP, Jaggaer, and office automation tools (asset).
- Professional communication skills.
- Experience with accounts payable in a manufacturing environment and understanding of basic accounting principles.
- Ability to work with limited supervision.

Language Requirements
French: Required
English: Required for communication with vendors, suppliers, and colleagues in the USA and Western Canada.
