Description:
The Planned Giving Assistant provides administrative support to the Planned Giving team.
Responsibilities:
- Process and organize estate administration files (electronic and hard copy) and prepare related correspondence and documentation.
- Assist with cultivation and stewardship programs (correspondence, newsletters, invitations, and special events) and track program results in our database.
- Provide administrative, logistical and relationship management support for donor and staff meetings and events. This may include booking venues, meeting rooms, ordering catering and/or preparing any relevant documents.
- Manage calendars and scheduling.
- Update team budget and process team expenses.
- Receive donations, prepare them for donations processing; make follow-up calls to donors related to returned mail/invalid addresses.
- Ensure that all information related to donor accounts and activity is accurate and up to date in Raiser’s Edge according to established policies and procedures; this will include ongoing data entry.
- Work with database team, donor relations team and other cross functional teams to pull and review lists as required.
- Participate in a rotation at our reception desk to assist with incoming calls and greet couriers and visitors.
Qualifications:
- Post-secondary Diploma
- At least one year of relevant experience in an administrative support role, preferably within a fundraising organization, trust company or law firm, or an equivalent combination of education, training and experience.
- Highly effective and professional interpersonal skills; good judgement, diplomacy, discretion and service-oriented attitude.
- Demonstrated ability to work collaboratively with direct colleagues and other teams.
- A high degree of initiative, discernment and resourcefulness; and thoughtfulness in decision-making.
- Excellent organizational and time management skills with strong attention to detail.
- Highly computer-literate with all Microsoft Office suite computer programs. Experience with Raiser’s Edge an asset.
- Excellent verbal and written skills.
- Available to work occasional weekends and evenings.
