People & Culture Assistant Coordinator

 

Description:

The People & Culture Assistant Coordinator, reporting to the Manager, People & Culture provides hands-on support across core HR functions, with a strong emphasis on full-cycle hourly recruiting and HR administration. This role is ideal for an early-career HR professional who is detail-oriented, highly organized, and eager to build foundational HR experience in a fast-paced, people-centered hospitality environment. The Assistant Coordinator supports talent acquisition efforts, employee lifecycle activities, payroll and data tracking, and day-to-day HR coordination while ensuring accuracy, compliance, and a positive employee experience.

Key Accountabilities

Administration

 Maintain accurate and up-to-date employee records in HRIS and personnel files
 Track key HR data including headcount, attendance, turnover, and onboarding completion.
 Maintain confidentiality in dealing with sensitive and privileged information while handling telephone calls, scheduling appointments, preparing documents and managing other administrative responsibilities.
 Assist HR team in maintaining a centralized electronic and paper filing system including maintaining a current Human Resources Information System (HRIS) of employee information.
 Coordinate meeting/training logistics ensuring available space, table set up, technology resources and refreshments as required.
 Assist the HR team in updating relevant policies, procedures, and forms as required.

Talent Acquisition & Hiring

 Manage full-cycle hourly recruiting, including job postings, resume screening, phone screens, interviews, reference checks, and hiring recommendations.
 Coordinate and schedule interviews with hiring managers and candidates.
 Prepare and issue offer letters and employment agreements in alignment with Park Hospitality guidelines.
 Facilitate pre-employment requirements such as background checks, onboarding paperwork, and system access.
 Maintain applicant tracking system (ATS) data accuracy and recruiting metrics.
 Support workforce planning by tracking open roles, time-to-fill, and hiring trends.
 Partner with hiring managers to understand role requirements and support efficient, inclusive hiring practices.

Onboarding & Employee Lifecycle Support

 Coordinate and deliver onboarding activities for new hires, including orientation scheduling, documentation, and system setup
 Ensure completion and filing of all required onboarding forms and compliance documentation
 Act as a first point of contact for new hires, providing guidance on policies, procedures, and benefits enrollment timelines
 Support employee status changes such as promotions, transfers, leaves of absence, and terminations
 Assist with exit processes, including documentation, system updates, and exit interview coordination

Payroll & Timekeeping Support

 Track and verify employee hours, attendance, and scheduling data prior to payroll submission
 Assist with payroll audits by reviewing data for accuracy and resolving discrepancies
 Respond to employee inquiries related to pay, timekeeping, and basic payroll processes

Employee Relations & General HR Support

 Provide frontline HR support by responding to employee questions regarding policies, procedures, and programs
 Escalate complex employee relations matters to senior HR leadership as appropriate
 Support engagement initiatives, recognition programs, and internal events
 Assist with policy updates, handbook maintenance, and HR process improvements
 Contribute to a positive, inclusive, and professional workplace culture

Training & Development

 Assist with training and development which may include booking venues, arranging food and beverages, coordinating technology requirements and tracking attendance.

General Duties

 Maintain a professional image while working and provide extraordinary experiences to our park visitors while performing daily work activities.
 Demonstrate the ability to establish and maintain positive and inclusive relationships with co-workers, volunteers, and visitors.

 Perform other related duties and responsibilities as required.
