Payment Supervisor

Description:

Clutch is looking for a Supervisor, Payments Administration to lead the day-to-day execution and quality control of our Payment Administrator function within the "Sell to Clutch" team. This role is accountable for ensuring customer payments are processed accurately, on time, and in line with internal controls—while coaching and monitoring performance to keep service levels tight and risk exposure low.

You'll be the operational "closer" for payment readiness: validating documentation standards, resolving exceptions, coordinating with Finance, and maintaining a steady cadence of reporting to key stakeholders. If you're process-driven, calm under pressure, and allergic to mistakes, you'll fit right in.

Work Schedule

  • Shift options: 8:00AM - 4:00PM or 1:00PM - 9:00PM
  • Work schedule options: Friday - Sunday or Saturday - Monday
  • Flexibility required with scheduling

Fully on-site at 3350 Wolfedale Rd, Mississauga

What you'll do

  • Supervise and coach Payment Administrators to ensure consistent execution, accuracy, and adherence to SOPs
  • Own daily workflow management (queue allocation, prioritization, coverage, and handoffs) to meet transaction SLAs
  • Ensure document completeness and compliance prior to purchase; validate readiness for payment release and transaction completion
  • Drive quality control by auditing payments and supporting documentation, minimizing financial and operational risk exposure
  • Manage exceptions and escalations (missing docs, mismatched details, banking/payment issues), coordinating resolution with advisors and internal teams
  • Partner with Finance to ensure payments are processed efficiently and in a timely manner; enforce clean controls and proper approvals
  • Track and report performance metrics (volume, cycle time, error rates, rework, aging) and provide insights to stakeholders
  • Identify process gaps and implement improvements to reduce errors, eliminate rework, and improve throughput
  • Maintain a customer-first mindset while protecting Clutch through disciplined controls and documentation standards

What you'll bring

  • 2–4 years of experience in administration, bookkeeping, accounting operations, or payments processing; prior people-lead experience is an asset
  • Demonstrated strength in quality control, attention to detail, and process adherence
  • Strong time management with the ability to prioritize multiple workstreams in a high-volume environment
  • Comfortable working under tight deadlines while maintaining composure and decision quality
  • Strong interpersonal skills with the ability to coach, deliver feedback, and drive accountability
  • Proficient with tracking/reporting tools (Excel/Google Sheets); comfort working with operational metrics
  • Must be comfortable working fully on-site
