Description:
The Visitor and Office Services Assistant at BCRTC plays a critical role in supporting the daily operations of the organization by providing comprehensive administrative and visitor support. The role requires maintaining a professional and welcoming environment for visitors and vendors while managing office operations efficiently.
Key responsibilities include:
Visitor Services: Greeting and assisting visitors and vendors, liaising with security for access, arranging onsite escorts, managing sign-in/out procedures, distributing PPE, and maintaining visitor areas.
Office Services Support: Handling incoming/outgoing mail and courier services, coordinating coffee and beverage orders, monitoring office supplies and equipment, supporting print management programs, and ensuring common areas are tidy.
Conference Room Support: Monitoring meeting room calendars, resolving scheduling conflicts, checking room supplies and equipment, assisting in setting up for meetings and events, and providing guidance on protocols and procedures.
Workspace Services Support: Reporting broken office furniture or fixtures, coordinating repairs, printing/updating nameplates, supporting office moves, and improving administrative processes.
Perform other administrative support tasks as assigned.
Qualifications:
Strong organizational and interpersonal skills.
Ability to manage multiple priorities simultaneously.
Completed high school education.
Minimum 2 years of experience in a similar administrative or visitor services role.
Proficiency in relevant software and computer applications, including MS Office.
Ability to work onsite 5 days a week and perform physical tasks around the facility.
Work Schedule:
40 hours per week, onsite.
