Balto Capital Inc., a fast-growing private lending company with an entrepreneurial spirit, is seeking a highly organized, adaptable, and proactive Office Administrator to join their Montreal-based team. The Office Administrator will ensure the smooth day-to-day running of operations, manage executive schedules, coordinate meetings and travel, respond to correspondence professionally, and maintain both digital and physical filing systems. The role also involves handling office supplies and vendor relationships, assisting with onboarding new employees, and documenting processes as the company continues to scale.

In addition to administrative responsibilities, the successful candidate will support light accounting functions, including processing invoices, managing accounts payable/receivable, handling bank reconciliations, and preparing basic financial reports for management review. Familiarity with accounting software such as Yardi will be considered an asset.

The ideal candidate will bring strong organizational skills, excellent attention to detail, and proven administrative experience—preferably in financial services or lending. Bilingual proficiency in English and French is required. Candidates should be comfortable working in a fast-paced environment, demonstrate discretion in handling sensitive information, and possess a collaborative, proactive mindset.

Education & Requirements:

  • High school diploma required; post-secondary education in business administration, accounting, or finance is an asset.

  • Minimum 1 year of relevant administrative experience.

  • Proficiency in MS Office Suite (especially Excel).

  • Basic knowledge of accounting and bookkeeping principles is a plus.
