Description:

The Grande Prairie Public Library (GPPL) is seeking an experienced and enthusiastic Office Administrator to join their collaborative and supportive team. This full-time, permanent role is perfect for someone who thrives on financial accuracy, organizational efficiency, and seamless administrative support. Reporting to the Library Director, the Office Administrator plays a crucial role in the day-to-day operations, from managing payroll to coordinating board meetings and room bookings.

Key Responsibilities:

  • Bookkeeping & Payroll Management:
    Maintain accurate financial records, process payroll, and manage employee benefits and pension plans.

  • Administrative Support:
    Provide administrative support to the Library Director, Board of Trustees, and staff members.

  • Board Coordination:
    Prepare documentation, meeting agendas, and minutes; manage Board correspondence and records.

  • Scheduling & Coordination:
    Oversee room booking processes and ensure smooth logistical arrangements for meetings and events.

  • Exam Proctoring Support:
    Serve as a backup proctor for examinations hosted by the library when required.


Candidate Profile:

  • Education:
    Minimum two-year certificate in Office Administration or Business Administration.

  • Experience:
    At least 2 years of hands-on experience in:

    • Office procedures

    • Data processing

    • Automated accounting systems

  • Skills & Attributes:

    • Strong math and budgeting abilities

    • Friendly and approachable demeanor

    • Excellent verbal and written communication skills

    • Ability to clearly explain financial operations and administrative processes

    • Problem-solver with strong organizational skills

    • Collaborative team player with a high standard of professionalism


Job Details:

  • Schedule:
    35 hours per week, with occasional evening work required.

  • Salary:
    CAD 59,389 – 76,018 per year
    → Equivalent to CAD 4949 – 6334 per month
    (Grade 3 on GPPL's salary grid, based on experience)
