Legal Office Intake Administrator

 

Description:

We are a small but dynamic law firm in Toronto, seeking a proactive and organized Legal Office Administrator. This role is ideal for someone who thrives in a fast-paced environment and is comfortable managing both administrative and legal support tasks with minimal supervision.


Responsibilities:


Client Intake & Legal Assistance

  • Conduct initial client intake and ensure proper documentation.
  • Assist lawyers with legal documents, correspondence, and case management.
  • Maintain and organize confidential client files.
  • Perform basic legal research and communicate case updates to clients.


Office Administration

  • Maintain office supplies, kitchen, and boardrooms.
  • Handle mail, couriers, and reception voicemail.
  • Monitor printer functionality and liaise with building maintenance.
  • Manage boardroom bookings and coordinate catering when needed.


General Support

  • Answer phone calls and manage calendars.
  • Assist with firm events and client appreciation initiatives.
  • Handle additional administrative tasks as assigned.


Qualifications:

  • Previous experience in office administration and/or legal assistance preferred.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication.
  • Proficiency in Microsoft Office and legal case management software is an asset.
  • Ability to work independently with minimal supervision.
  • Attention to detail and ability to handle confidential information.
