Description:
We are a small but dynamic law firm in Toronto, seeking a proactive and organized Legal Office Administrator. This role is ideal for someone who thrives in a fast-paced environment and is comfortable managing both administrative and legal support tasks with minimal supervision.
Responsibilities:
Client Intake & Legal Assistance
- Conduct initial client intake and ensure proper documentation.
- Assist lawyers with legal documents, correspondence, and case management.
- Maintain and organize confidential client files.
- Perform basic legal research and communicate case updates to clients.
Office Administration
- Maintain office supplies, kitchen, and boardrooms.
- Handle mail, couriers, and reception voicemail.
- Monitor printer functionality and liaise with building maintenance.
- Manage boardroom bookings and coordinate catering when needed.
General Support
- Answer phone calls and manage calendars.
- Assist with firm events and client appreciation initiatives.
- Handle additional administrative tasks as assigned.
Qualifications:
- Previous experience in office administration and/or legal assistance preferred.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication.
- Proficiency in Microsoft Office and legal case management software is an asset.
- Ability to work independently with minimal supervision.
- Attention to detail and ability to handle confidential information.
