As a Legal Assistant – Law Clerk, you will play a critical role in providing confidential administrative and litigation support to in-house counsel. Your responsibilities will include preparing and managing litigation documentation such as Notices of Examination, Affidavits of Service, Motion Records, Statements of Defence, LAT applications, and Trial Records. You will be responsible for filing documents with courts and the LAT, summarizing productions, preparing document and medical briefs, arranging discoveries, mediations, and defence medical examinations, and ensuring limitation periods are carefully tracked.

The role requires active management of legal files, including opening, updating, and closing them, as well as organizing contacts for plaintiff counsel, clients, co-defendants, expert witnesses, and court officials. You will maintain lawyer schedules, arrange meetings, transcribe dictation, manage expense tracking, request cheques, and prepare for trials, mediations, LAT hearings, and pre-trials. Additional tasks may include ordering supplies, handling incoming mail, and taking minutes during meetings.

This role is ideal for a professional with strong organizational skills, attention to detail, and the ability to work independently while maintaining confidentiality. Communication with adjusters and external stakeholders will be a regular part of the position, requiring excellent interpersonal, written, and verbal skills.

Key Responsibilities:

  • Draft, revise, and prepare litigation documents (defence pleadings, affidavits, LAT responses, trial records, etc.)

  • File documents with courts and LAT

  • Collect undertakings and organize productions

  • Prepare document and medical briefs

  • Summarize productions and maintain case records

  • Arrange discoveries, mediations, medical exams, and hearings

  • Track limitation periods and diarize key deadlines

  • Manage lawyer schedules and meeting coordination

  • Communicate regularly with adjusters regarding case status

  • Manage expenses, cheque requests, and quarterly accounts

  • Provide trial, pre-trial, and LAT hearing preparation support

  • Perform administrative tasks including mail distribution, meeting prep, and dictation transcription

Candidate Requirements:

  • 2–5 years of relevant experience as a legal assistant or law clerk

  • Prior experience in Insurance Defence and Accident Benefits is mandatory

  • Law Clerk Certification considered an asset

  • Solid knowledge of Rules of Civil Procedure and litigation process

  • Familiarity with Statutory Accident Benefits Schedule and dispute resolution process

  • Strong organizational and time management skills

  • High attention to detail, grammar, and accuracy

  • Proficient in Microsoft Word, Excel, and Outlook

  • Excellent interpersonal, written, and verbal communication skills

  • Client-focused, results-driven, and capable of working independently
