Description:

WeirFoulds LLP, a respected legal firm in Toronto, is seeking two Municipal Legal Assistants (Litigation) to join its Municipal and Planning practice group. This is a full-time, permanent position for professionals who thrive in a fast-paced environment, enjoy a variety of tasks, and are confident in managing a busy litigation desk. The role is hybrid, requiring up to four days per week in the office, with standard work hours from Monday to Friday, 9:00 a.m. – 5:00 p.m.

You will provide comprehensive legal support to up to three lawyers, assisting with litigation, trial preparation, scheduling, and administrative functions. You will be expected to demonstrate strong communication, organizational, and practice management skills while promoting a client-first, collaborative team culture.

Key Responsibilities:

  • Prepare and format legal documents such as pleadings, affidavits, motions, and facta

  • Support lawyers with trial and hearing preparation, including compiling records and briefs

  • Arrange service and filing of legal documents with courts and tribunals

  • Manage lawyers’ calendars, court dates, deadlines, and scheduling

  • Open and maintain electronic files and client matter lists using iManage

  • Process monthly accounts and docket entries using 3E accounting system

  • Handle communications, including calls, mail, emails, and client inquiries

  • Maintain and update CRM contact lists in InterAction

  • Schedule meetings, book rooms, make travel arrangements, and coordinate with other departments

  • Provide administrative coverage for colleagues as needed

Required Skills & Qualifications:

  • Legal Assistant Diploma and/or Law Clerk certificate

  • Knowledge of Ontario Land Tribunal procedures and legal forms

  • Strong proficiency in litigation software, PDF tools, and court document preparation

  • Excellent attention to detail, proofreading, and time management skills

  • Ability to manage multiple priorities independently under tight deadlines

  • Eagerness to learn and adapt to new systems and processes

  • Strong interpersonal and communication skills

  • Discretion and good judgment when handling confidential matters

  • Passion for providing high-quality legal support to lawyers, clients, and courts
