Internship Coordinator

 

Description:

Queen’s University is seeking an Internship Coordinator to join Career Services as part of the Queen’s Undergraduate Internship Program (QUIP). Career Services supports students in building confidence, connections, and career readiness through experiential learning opportunities, and QUIP facilitates 12–16 month, full-time, paid internships for undergraduate students across diverse fields.

Reporting to the Manager of QUIP, the Internship Coordinator plays a critical role in supporting students’ career development while strengthening relationships between students, alumni, and employers. The incumbent will manage internship program operations, provide student advising, assist employers with recruitment processes, and ensure the overall effectiveness of experiential learning initiatives.

Key Responsibilities:

  • Serve as the primary contact for internship and professional experience programs, supporting students, alumni, and employers.

  • Maintain consistent communication with students, providing individualized advising, job search support, and interview preparation.

  • Guide employers through the hiring partnership process, including job postings, company information sessions, interviews, and managing offers/acceptances.

  • Coordinate and implement events such as workshops, recruitment fairs, and employer sessions (including scheduling, promotion, logistics, and follow-up).

  • Identify and pursue opportunities to expand program efficiency, strengthen employer partnerships, and build new collaborations.

  • Develop and update program procedures, guidelines, and resources to ensure smooth operations.

  • Design and deliver training supports for students, including resume and cover letter reviews, interview coaching, and internship readiness workshops.

  • Prepare and analyze statistical reports to support program evaluation, planning, and accountability.

  • Support experiential learning initiatives across the university, collaborating with other units as required.

  • Work occasional evenings and weekends to accommodate events and recruitment cycles.

Required Education and Experience:

  • Four-year Bachelor’s degree or equivalent education.

  • 3–5 years of relevant work experience in career services, student advising, employer relations, or program coordination.

  • Satisfactory Criminal Records Check and Vulnerable Sector Screening required.

  • Equivalent combinations of education and experience may be considered.

Skills and Competencies:

  • Strong interpersonal, advising, and communication skills with the ability to adapt messages for diverse audiences.

  • Ability to develop trust, credibility, and effective relationships with students, employers, alumni, and colleagues.

  • Experience in program coordination, event planning, and employer engagement.

  • Skilled in problem-solving, decision-making, and applying equity, diversity, accessibility, and inclusion best practices in student services.

  • Competence in using technology, including career services systems, event platforms, and basic data reporting tools.

  • Ability to work independently, manage priorities, and contribute effectively to team projects.

  • Knowledge of experiential learning, student career development, and post-secondary environments is an asset.

Work Schedule:

  • Full-time, 35 hours per week (Monday–Friday).

  • Permanent, continuing position.

  • Some evenings and weekends required for events.
