Description:
The Information Management Specialist will support the delivery of a portfolio of large-scale rail infrastructure projects under an Alliance model. This role focuses on implementing and maintaining robust information governance frameworks, and enabling efficient collaboration across multiple stakeholders, including owner, subcontractors, and alliance partners. This role leads the coordination, stakeholder analysis, and integration activities necessary to ensure information governance processes operate effectively across the portfolio.
Governance & Compliance
- Implement and maintain information management standards aligned with ISO 19650, contractual obligations, and project-specific governance frameworks.
- Ensure compliance with data security, confidentiality, and data retention policies across all platforms.
- Platform Administration
- Configure and manage Common Data Environments (CDE) such as Aconex, Autodesk Construction Cloud (ACC), and SharePoint for multi-phase project delivery.
- Define user roles, permissions, and workflows to support design, construction, and handover activities.
Document Control & Workflow Oversight
- Guide the design, implementation, and continuous improvement of document governance processes, including versioning rules, metadata structures, and transmittal protocols.
- Oversee the performance and integration of workflows for RFIs, submittals, and design deliverables to ensure they operate efficiently, consistently, and with full traceability.
- Support Document Control and project teams by providing clear process frameworks, resolving workflow issues, and ensuring alignment, without performing day‑to‑day document processing activities.
Stakeholder Coordination
- Act as the primary liaison for information management between project teams, external partners, and client representatives.
- Provide training and support to project personnel on platform usage and governance requirements.
Reporting & Analytics
- Generate dashboards and reports to track compliance, performance metrics, and data integrity.
- Identify risks related to information flow and propose mitigation strategies.
What You Bring
- Bachelor’s degree in Information Management, Construction Management, Engineering, or related field.
- 3+ years of experience in information/document management or project management on large infrastructure or P3 projects.
- Proficiency in CDE platforms (Aconex, ACC, SharePoint) and understanding of ISO 19650 principles.
- Proficiency in FME and Microsoft Excel would be an asset.
- Strong organizational skills and attention to detail with the ability to manage multiple priorities.
- Excellent communication and stakeholder engagement skills.
