Description:
Our client is seeking an experienced Information and Records Management Advisor to support a significant records modernization initiative. With more than 30 years of physical records, legacy storage practices, and a broader transition toward a cloud-based environment, the organization requires a senior resource who can assess the current state, establish a practical path forward, and provide informed advice on records retention, classification, accessibility, and disposition.
This is an advisory level mandate for a resource who can come in, evaluate a largely unstructured records environment, and provide a clear framework for how records should be reviewed, organized, retained, digitized, archived, or securely destroyed.
Duties include but are not limited to:
- The successful candidate will be expected to bring the knowledge and credibility to guide the client from a starting point where there is no formalized system in place.
- Assess the current records environment, including physical files, archived materials, storage practices, and existing control lists
- Review records holdings and advise on retention, disposition, archival, and digitization priorities
- Develop a practical approach for organizing records so that retained information is searchable, accessible, and aligned with business needs
- Recommend file classification, indexing, naming conventions, metadata approaches, and document organization standards
- Provide guidance on how best to manage historical records during the organization’s transition toward a cloud based environment
- Establish a structured plan for determining what should be retained, digitized, archived off site, or securely destroyed
- Advise on records handling processes and documentation practices to support consistency, traceability, and future use
- Work closely with internal stakeholders to understand record types, operational requirements, and areas of ongoing business value
- Support implementation of the recommended approach, including review of physical records and direction on next phase activities as required
About You
The successful candidate will have the following:
- Significant experience in information management, records management, archives, or records modernization within complex organizational environments
- Demonstrated experience leading or advising on records clean up, retention, classification, disposition, and digitization initiatives
- Proven ability to assess an unstructured records environment and develop a practical, defensible path forward
- Strong understanding of records lifecycle principles, including retention, access, storage, disposition, and information accessibility
- Experience advising organizations on how to organize records for long term usability, retrieval, and operational efficiency
- Ability to work independently in an advisory capacity and provide clear, credible recommendations to internal stakeholders
- Strong judgment, discretion, and professionalism when handling confidential, sensitive, or legacy organizational records
- Excellent organizational, analytical, and planning skills
- Ability to work on site in a physical records environment as needed to assess files, storage conditions, and records volumes
- Formal education, certification, or specialized training in records management, information management, archives, library sciences, or a related field is considered a strong asset
- Experience developing or implementing retention schedules, records frameworks, or file classification structures is considered an asset
- Experience supporting records initiatives tied to broader modernization or cloud migration efforts is considered an asset
