Financial Assistant

 

Description:

McCormick Care Group is seeking a Financial Assistant to support the finance department in managing accounts payable, payroll, and other financial duties. The role requires maintaining vendor accounts, assisting with payroll processing, compiling statistical data, and providing backup for clerical positions as needed. This part-time role also involves ensuring compliance with policies and procedures, including those related to long-term care regulations and accreditation standards.

Key Responsibilities:

  • Accounts Payable:

    • Enter new vendors and maintain vendor accounts.

    • Print vendor invoices, distribute to managers, and ensure correct coding.

    • Reconcile credit card receipts and vendor statements.

    • File all accounts payable documentation.

  • Payroll:

    • Act as backup for bi-weekly payroll, including time input and payroll generation.

    • Provide support for employee inquiries regarding pay and benefits.

  • Other Financial Duties:

    • Maintain the software Masterfile for resident admissions, discharges, and transfers.

    • Prepare and enter bank deposits weekly.

    • Prepare analysis and reports for accounts payable and payroll as required.

    • Provide ad hoc support for the Director of Finance and Financial Coordinator.

Requirements:

  • Education: Preference for a member of The Canadian Payroll Association with completion of Payroll Compliance Practitioner (PCP).

  • Experience: 3-5 years of general accounts payable and payroll experience.

  • Skills:

    • Basic bookkeeping and proficiency with Word, Excel, PowerPoint, email.

    • Use of tact and diplomacy when interacting with residents, staff, and the public.

    • Excellent verbal and written communication skills.

Working Conditions:

  • Some disruption in lifestyle due to extra hours for meetings.

  • Exposure to resident care elements and the need to be available for emergencies.

  • Stress due to interruptions during the workday and managing time constraints.

Physical Requirements:

  • Lifting up to 50 lbs. (5-29 lbs. usual).

  • Lifting with assistance up to 160 lbs. (100-120 lbs. usual).

  • Walking and standing for extended periods.

  • Bending, stooping, crouching, and kneeling are minor job functions.

Health and Safety Responsibilities:

  • Knowledge of health and safety policies, procedures, and regulations.

  • Ensure safety policies are adhered to and report hazardous situations.

  • Ensure prompt treatment and documentation of injuries/illnesses.

  • Participate in fire safety drills and ensure staff knowledge of safety protocols.
