Finance Officer

 

Description:

The Finance Officer performs backup day-to-day accounting and financial activities of the Foundation to assist with process improvements within the department.

  • Please note: this is a 2-year term position, with the possibility of a 2-year extension.

Responsibilities

Grant Management Support

Assist the Finance Grant Officer in overseeing full grant lifecycle. Collaborate with the CFO, Controller, Grants Finance Manager, and lead fundraiser to ensure timely review and oversight of all grants.

  • Pre-award:
  • Interpret and apply granting agency guidelines, including allowable expenditures and reporting obligations.
  • Partner with the SPF’s development team, internal departments, and Providence Health Care centres to review grant applications agreements and budgets.
  • Post-award:
  • Review and approve grant disbursements.
  • Ensure timely communication of reporting requirements, financial updates, and project progress to SPF internal teams and grant holders.
  • Work collaboratively with SPF teams and grant holders to complete and review grant financial and activity reports.
  • Respond to financial reporting inquiries from granting agencies.
  • Coordinate stewardship reporting with PHC centres, grant holders, and Donor Relations.
  • Maintain comprehensive tracking of grant activities, including applications, disbursements, reporting, project updates and payments.

 

Finance

  • Prepare monthly journal entries, bank reconciliations and balance sheet account reconciliations.
  • Complete monthly donation reconciliation and weekly donation bank transactions.
  • Support biweekly disbursement cheque runs and liase with PHSA Accounts Payable.
  • Monitor weekly corporate credit card balances, assist with credit limit adjustments and manage card issuance.
  • Provide backup support for quarterly PST and GST filings.
  • Respond to queries, fund balances and commitments outstanding to fund signatories and Foundation staff.
  • Assist with financial reporting for Foundation raffles in compliance with Gaming Policy & Enforcement Branch regulations.
  • Contribute to the preparation of monthly financial reporting package and fund balance updates.
  • Support the development of audit working papers related to cash, grants and other financial areas
  • Perform additional duties as required.

Qualifications

  • Minimum of 3 years of full cycle bookkeeping experience, preferably with a registered charity or non-profit organization.
  • Post-secondary degree or diploma in accounting or an equivalent combination of education and experience.
  • Strong understanding of fund accounting and generally accepted accounting principles (GAAP) in the non-profit sector.
  • Proficiency in accounting software and Microsoft Office applications.
  • Experience with PeopleSoft and/or Raiser’s Edge is an asset.
  • Prior experience in grant management is an asset.
  • Exceptional organizational skills, strong attention to detail, and ability to manage multiple priorities while maintaining a positive attitude.
  • Strong interpersonal and communication skills, both written and verbal.
  • Ability to meet tight deadlines and work independently or collaboratively.
  • Demonstrated discretion in handling confidential and sensitive information.
