Description:

The Winnipeg Foundation, Canada’s first community foundation, is seeking a Finance and Documentation Coordinator to support its Finance team through detailed fund administration, legal documentation, and organizational record-keeping. This hybrid role is integral in maintaining accurate fund files, preparing board reports, assisting with legal documentation, and supporting overall financial operations. The position is ideal for a highly organized and detail-oriented individual passionate about community impact and administrative excellence.

Key Responsibilities:

Fund Setup and Administration:

  • Set up and manage fund records including digital and paper files.

  • Ensure records follow document retention policies and internal protocols.

  • Coordinate with internal teams to keep fund information accurate and current.

  • Manage internal approval workflows and respond to fund-related queries.

  • Prepare reports for senior management and the board on fund activity.

Legal Administration:

  • Draft legal agreements using pre-approved templates and assist with legal correspondence.

  • Review final documents for formatting, grammar, and clarity.

  • Manage signature processes and ensure version control of all legal records.

  • Track deadlines and maintain legal calendars.

General Administration:

  • Prepare agendas and take minutes for board meetings of sub-entities.

  • Attend internal committee meetings as needed.

  • Provide support on additional administrative tasks within the Finance team.

Required Qualifications:

Education and Experience:

  • Diploma in Office or Business Administration.

  • 1–3 years of office administration experience (preferred).

Skills and Abilities:

  • Proficiency in Microsoft Office Suite (especially Word).

  • Familiarity with Adobe Pro or document automation tools is an asset.

  • Exceptional attention to detail and strong proofreading/editing skills.

  • Strong verbal and written communication skills.

  • Ability to handle confidential and sensitive information responsibly.

  • Effective multitasking and time management in a fast-paced environment.

  • Strong organizational and independent working capabilities.
