iPolitics, a premier source of Canadian political and policy journalism, is seeking a highly organized and proactive Executive Assistant to the Publisher. This is an exciting opportunity to work at the heart of Canadian political media, supporting a dynamic leadership team and contributing to the continued growth and influence of a respected news outlet.
As a trusted partner to the Publisher, the successful candidate will manage a wide array of administrative, operational, and strategic coordination tasks. This role is ideal for a detail-driven individual who thrives in fast-paced environments and enjoys working closely with leadership on high-level initiatives related to editorial, business development, sponsorships, and events.
Manage the Publisher’s calendar, prioritize tasks, arrange meetings, and coordinate travel to ensure optimal scheduling.
Serve as a key liaison between the Publisher and internal teams, external stakeholders, and clients.
Prepare strategic documents including presentations, internal reports, memos, proposals, and briefing materials.
Organize and execute logistics for meetings, briefings, and public-facing events, including materials, setup, and follow-ups.
Handle sensitive and confidential information with a high degree of discretion and professionalism.
Track and coordinate ongoing strategic projects, ensuring progress on initiatives across editorial, business development, and partnerships.
Screen and prioritize correspondence and communications, ensuring timely responses and effective delegation.
Proactively identify and implement improvements in administrative processes and operational workflows.
Occasionally attend events outside standard working hours, representing the Publisher and organization.
Minimum 2 years of experience in an executive assistant, administrative, or operations role—ideally supporting senior leadership.
Educational background in business, marketing, accounting, or finance preferred.
Strong verbal and written communication skills with professional polish.
Exceptional organizational and multitasking abilities; ability to manage competing priorities and tight deadlines.
Tech savvy, with proficiency in Microsoft Office, Google Workspace, calendar management tools, and virtual meeting platforms.
Demonstrated discretion and confidentiality in handling sensitive information.
Genuine interest in politics, media, and policy is a strong asset.
Bilingualism (English/French) is an asset but not mandatory.
Ability to work both remotely and from the Ottawa office, as part of a hybrid work model.
