Description:

Leon’s Furniture, a renowned Canadian company with over a century of operational excellence, is seeking a highly organized and proactive Executive Assistant / Board Administrator to support the CEO, CFO, and Board of Directors. This on-site, full-time role is based in North York, Ontario, and offers an exciting opportunity to operate at the heart of executive decision-making while playing a pivotal role in board governance.

This position requires a seasoned professional who can handle sensitive information with utmost discretion, manage complex executive schedules, oversee board meeting preparation, and serve as a key liaison for internal and external stakeholders.

Key Responsibilities:

Executive Support:

  • Manage and prioritize the CEO and CFO’s calendars, scheduling internal/external meetings and travel.

  • Act as a gatekeeper for communication, flagging urgent matters and responding promptly.

  • Prepare agendas, briefing documents, presentations, and meeting materials.

  • Coordinate domestic and international travel logistics, including flights, accommodations, and transport.

  • Assist with leadership initiatives, research projects, and confidential organizational matters.

  • Manage digital records, files, and systems for the executive office.

  • Serve as Co-Chair of the Social Committee, organizing team events, wellness initiatives, and celebrations to foster a positive workplace culture.

Board Administration:

  • Collaborate with the Board Chair and leadership to prepare materials for board and committee meetings.

  • Draft and maintain agendas, reports, and board packets; ensure clarity, accuracy, and professionalism.

  • Track compliance documentation, meeting deadlines, and recurring board obligations.

  • Distribute materials securely and coordinate printing/binding of physical copies as needed.

  • Maintain director compensation records, coordinate payments with payroll/finance, and support the quarterly dividend distribution process.

Required Qualifications:

  • Bachelor’s degree in Business Administration, Public Administration, Communications, or a related field (or equivalent experience).

  • 5+ years of experience supporting C-level executives and/or managing board administrative functions.

  • Proficiency in Microsoft Office Suite, Google Workspace, Adobe Acrobat, and SharePoint.

  • Demonstrated ability to prepare polished board materials and executive documentation.

  • Knowledge of board governance practices and legal compliance in a corporate setting.

  • Exceptional organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment.

  • Strong interpersonal and relationship management skills; professional demeanor with senior stakeholders.

  • Ability to manage highly confidential matters with discretion and integrity.
