Description:
Sun Life, a global financial services company recognized as a 2024 Best Workplace in Ontario and holder of the Canada Order of Excellence for Mental Health at Work®, is seeking a highly organized and proactive Executive Assistant to support two Vice Presidents (VPs), and provide administrative assistance to Associate Vice Presidents (AVPs) and Directors within the audit function. The successful candidate will be a creative and detail-oriented professional with excellent time management skills, capable of handling a wide range of responsibilities independently while maintaining strict confidentiality.
Key Responsibilities:
Provide executive-level administrative support to 2 VPs and assist other leaders within the audit team.
Proactively manage schedules, prepare agendas and pre-read materials, and coordinate meetings across multiple locations.
Assist with course registrations and reporting, including monthly, quarterly, and audit-related surveys and evaluations.
Create and edit documents and presentations using MS Word, Excel, and PowerPoint.
Coordinate domestic and international travel arrangements and manage business expense reports.
Maintain digital communication platforms including wikis, shared calendars, and document repositories.
Manage data systems, office supplies, and inventory, and support visitor logistics and workspace arrangements.
Identify and propose process improvements while managing shifting priorities efficiently.
Collaborate closely with other Executive Assistants to streamline scheduling and administrative workflows.
Provide ad-hoc support for various audit teams as needed.
Key Requirements:
3–5 years of experience in an executive or administrative support role.
Proficiency in Microsoft Office, especially PowerPoint, Excel, and Word.
Strong verbal and written communication skills with a professional demeanor.
Excellent organizational and time management abilities; adaptable to changing priorities.
Self-motivated team player with high attention to detail and confidentiality.
Ability to work independently and collaboratively in a fast-paced environment.
Assets:

Base Salary Range: CAD 53300 to 88200 annually (approx. CAD 4441 to 7350 monthly)
