Executive Assistant

 

Description:

The Executive Assistant – Sales Department will play a key strategic role in organizing and optimizing sales operations while ensuring smooth communication and coordination within the department. Reporting to the Vice President of Sales, this role involves sales analysis, performance tracking, strategic planning, and executive-level administrative support. The selected candidate will act as a key facilitator for sales operations, internal coordination, and stakeholder management.

Key Responsibilities:

Strategic & Analytical Support:

  • Prepare and analyze sales reports to identify trends, opportunities, and market challenges

  • Develop strategic insights and recommendations to support decision-making

  • Work closely with sales directors to ensure alignment on sales goals and performance tracking

  • Assist in sales development plans and monitoring commercial initiatives

  • Structure and coordinate client meetings, sales strategies, and performance reviews

Executive & Coordination Management:

  • Manage the Vice President’s calendar and ensure time is efficiently allocated to strategic priorities

  • Plan and organize executive meetings, agendas, action tracking, and follow-ups

  • Oversee client visit logistics, including travel, accommodation, plant tours, and presentations

  • Filter and prioritize electronic communications and requests for the Vice President

  • Act as a liaison between departments to facilitate information flow and communication

Administrative & Special Projects Management:

  • Ensure the smooth operation of the sales department with an organized structure

  • Track and follow up on performance management and commission-related documentation

  • Assist in corporate events, trade shows, and conferences in collaboration with the sales team

  • Support HR initiatives such as organizational charts and employee recognition programs

  • Contribute to continuous process improvement in administrative and commercial operations

Qualifications & Requirements:

📌 College or university degree in Administration, Marketing, or a related field
📌 Minimum 3 years of experience in executive support within a sales department or strategic office management
📌 Bilingual in French and English (oral & written)
📌 Proven ability to analyze data, generate reports, and optimize processes
📌 Strong organizational skills, attention to detail, and ability to manage multiple priorities
📌 Professionalism and discretion in handling sensitive information and high-level stakeholders
📌 Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
📌 Experience in the manufacturing industry (an asset)
