The Executive Assistant in Real Estate Development is a key player in managing and supporting the lifecycle of property development projects. This role involves direct involvement in project planning, execution, and completion stages, requiring keen attention to detail and strong organizational skills. The ideal candidate will be adept in navigating the complexities of the real estate sector, ensuring seamless operations and efficient management.

 

As an Executive Assistant, you will play a critical role in supporting the development process of real estate projects. Your responsibilities will range from coordinating project meetings to managing essential documents and liaising with various stakeholders. This position demands a high level of proficiency in administrative tasks, an understanding of real estate development, and the ability to work effectively under tight deadlines.

 

Responsibilities:

 

  • Coordinate and organize project-related meetings and schedules.
  • Manage and maintain project documentation, including planning and legal documents.
  • Facilitate effective communication between internal teams, clients, and external stakeholders.
  • Provide comprehensive administrative support throughout the project lifecycle.
  • Prepare and oversee presentations and project reports.
  • Handle sensitive information with utmost confidentiality.
  • Maintain an organized filing system for project-related documents.
  • Assist in financial management, including budget tracking and invoicing.
  • Ensure compliance with real estate development regulations and standards.
  • Support in project planning, including resource allocation and timeline management.
  • Contribute to process improvement initiatives within the administrative domain.
  • Serve as the primary point of contact for project-related inquiries.

 

Requirements:

 

  • Minimum of 3 to 5+ years of advanced experience as an Executive Assistant, preferably in the real estate sector.
  • Degree or diploma in Business Administration, Real Estate, or a related field.
  • Proficiency in Microsoft Office and real estate project management software.
  • Exceptional organizational and time-management skills.
  • Strong communication and interpersonal skills.
  • Familiarity with the real estate development process and industry standards.
  • Ability to work independently and as part of a team.
  • Detail-oriented approach with strong analytical and problem-solving abilities.
  • Experience in managing confidential information with discretion.
  • Adaptability to rapidly changing project requirements.
