Description:
Strategy Institute, a leading event production organization focused on creating impactful conferences and forums, is seeking a highly organized and energetic Event Coordinator (Hybrid) to join their Events Management Department on a full-time contract basis, with the potential for renewal.
This dynamic role requires a hands-on, detail-oriented professional who thrives in a fast-paced environment and can seamlessly coordinate both virtual and in-person events. You'll play a critical role in planning, organizing, and executing events, ensuring exceptional experiences for attendees and speakers. This hybrid position combines remote work with onsite responsibilities primarily across Toronto and North America.
Remote Event Planning & Coordination:
Manage all aspects of speaker logistics, including communications, presentation materials, and scheduling.
Collaborate with internal teams to maintain up-to-date agendas and speaker details.
Oversee the preparation of event materials such as signage, name badges, and registration kits.
Set up and maintain content on virtual platforms (e.g., EventMobi, Cvent).
Work with production and customer success teams to ensure seamless delivery of event experience.
Coordinate AV logistics, show assets, and manage accommodation blocks when required.
Compile post-event reports, participate in team debriefs, and support general planning activities.
Onsite Event Execution:
Manage attendee registration, check-in processes, and badge printing.
Deliver outstanding customer service throughout the event.
Oversee speaker check-in and support speaker requirements during the event.
Troubleshoot onsite challenges to maintain a smooth flow of operations.
Assist with event setup and teardown, including materials and AV components.
Maintain event supply inventory and assist with live updates on platforms such as Brella.
Proven experience with event platforms like EventMobi, Cvent, or similar tools.
Background in coordinating both virtual and in-person events.
Exceptional organizational and time management skills.
Strong written and verbal communication capabilities.
Ability to manage multiple priorities in a deadline-driven environment.
Willingness and ability to travel onsite to Toronto and across North America.
Comfortable working independently in a remote setup.
