Corporate Compliance Administrator/office Manager

Our client, a dynamic and highly regarded boutique firm, is on the lookout for an enthusiastic and detail-oriented Corporate Compliance Administrator/Office Manager to join their team. This is a fully in-office role offering a unique blend of corporate records administration, office management and hands-on support across client-facing projects.

Key Responsibilities:

 

Office Management & Administration

  • Greet clients, manage reception, and coordinate visitor needs
  • Maintain shared office spaces, kitchen areas, and overall office organization
  • Schedule meetings and manage the internal office calendar
  • Handle mail and couriers, oversee supplies, and liaise with service providers
  • Coordinate repairs and facility needs with the building manager
  • Manage records such as office manuals, directories, and postage/shredding services
  • Assist with basic financial tasks like deposits and disbursement tracking

 

Corporate Records & Compliance

  • Maintain and update client minute books and corporate records
  • Prepare and file annual returns and resolutions
  • Track and follow up on annual filing requirements

 

Team & Project Support

  • Provide general administrative assistance to the team
  • Draft business correspondence including memos, letters, and emails
  • Assist with incorporations, registrations, and corporate amendments
  • Support private placements, board materials, and due diligence efforts
  • Input billable time and maintain accurate client file descriptions

 

What We’re Looking For:

  • Strong multitasking and organizational skills
  • Professional communication and business writing abilities
  • Proficiency in Microsoft Word and Excel
  • Attention to detail and a commitment to exceptional service
  • Legal assistant diploma or office admin certification preferred
  • CORES knowledge is an asset but not required
