SWON Public Affairs is seeking a Contract Administrative Support professional to join their team in London, ON. This hybrid, part-time role is structured for individuals who value collaboration, thrive in a structured environment, and can manage multiple priorities with precision. The position involves supporting the organization’s operational, administrative, and project-based needs while ensuring seamless coordination across internal teams and external stakeholders.
The successful candidate will play a vital role in research, writing, scheduling, project tracking, and document preparation, providing direct support to the President and project teams. With strong attention to detail, organizational ability, and discretion, the Contract Administrative Support team member will contribute to the efficiency, professionalism, and success of the organization’s operations.
Key Responsibilities:
Research & Writing: Conduct research on diverse topics to support decision-making and strategic initiatives; prepare written reports, briefs, and summaries; proofread and edit documents for clarity and accuracy.
Documentation Preparation & Editing: Create and format professional documents, presentations, and templates; maintain electronic and physical filing systems; review and edit project materials for quality and consistency.
Scheduling & Coordination: Manage internal calendars and appointments; coordinate logistics for meetings, including agendas and materials; liaise with stakeholders to confirm schedules and provide updates.
Project Management Support: Track project timelines, deliverables, and tasks; assist in project execution; maintain accurate documentation and ensure timely reporting to management.
Administrative Assistance: Draft correspondence and emails; provide general administrative support to management and team members; maintain confidentiality when handling sensitive information.
Qualifications:
Post-secondary education or advanced studies in administration, business, communications, political science, or related field (or equivalent professional experience).
Strong research, analytical, and problem-solving skills.
Excellent writing, editing, and proofreading capabilities.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience with project management tools/software (asset).
Exceptional organizational skills and attention to detail.
Ability to prioritize tasks and manage fixed schedules effectively.
Strong interpersonal and communication skills, with a high level of professionalism and discretion.
Working Conditions & Contract Terms:
Part-time role: Mondays, Wednesdays, and Fridays from 9:30 AM to 2:00 PM (4.5 hours/day, 3 weeks per month).
Six-month contract with a three-month probationary period (in compliance with ESA regulations).
Potential for extension based on performance and organizational needs.
Hybrid/remote work environment with occasional flexibility required for project deadlines.
Reports directly to the President (Kirsten Krose) and collaborates with project teams, stakeholders, and clients.
Compensation:
$20 – $24 per hour, depending on experience.
