Description:
The City of Victoria is inviting applications for the role of Client Services Representative within the Business & Community Relations Department. This position plays a crucial role in monitoring and coordinating the provision of event services and supplies for clients at the Victoria Conference Centre (VCC). The successful candidate will act as the first point of contact for clients during events, ensuring smooth operations and exceptional customer service.
Key Responsibilities:
Review upcoming event orders and coordinate the timely delivery of services.
Arrange and participate in room set-up for events.
Liaise with food, beverage, and event service suppliers to ensure the seamless provision of contracted services.
Act as the primary client contact during events to handle special requirements or last-minute changes.
Record additional services provided or any problems encountered using the Event Management Business System.
Monitor event activities for compliance with building, fire, and safety regulations as well as contractual obligations stated in the VCC License Agreement.
Respond to and facilitate event-related deliveries.
Operate equipment including forklifts, pallet jacks, scissor lifts, and walkie stackers.
Perform related duties as qualified and required.
Working Conditions:
Physical Effort: Frequent lifting and moving of medium-weight materials and equipment.
Mental Effort: Frequent need to meet tight event deadlines and manage unexpected changes.
Visual/Auditory Effort: Normal.
Work Environment: Combination of office work and active duties at loading docks and event spaces.
Key Skills & Abilities:
Strong organizational and prioritization skills.
Ability to deliver high-quality customer service.
Working knowledge of Event Business Management Systems.
Proficiency in maintaining accurate records.
Excellent communication and relationship-building skills with the public, clients, and external agencies.
Qualifications:
High school graduation required.
Forklift Operator’s Certificate mandatory.
Minimum 1 year of experience in hospitality, events, or a related customer service-focused field.
Other Requirements:
May be requested to act in a more senior position as needed.
