Description:

Sea To Tree Health & Wellness is seeking a highly organized and proactive Centre Manager to oversee and coordinate operational and administrative projects at their clinic. The Centre Manager will play a key role in ensuring smooth, efficient, and professional functioning of all administrative processes at the clinic, which offers accessible clinical counselling, coaching, and wellness services. This role is integral to the daily operations, ensuring that staff and contractors are effectively managed and that the clinic operates smoothly. The position offers autonomy with remote work and flexible hours, though weekday availability during standard business hours is essential.

Key Responsibilities:

  • Oversee day-to-day clinic operations, including team management and client referrals

  • Troubleshoot technical issues with client management software (Jane)

  • Maintain and update clinic policies, procedures, and operational manuals

  • Perform monthly statistical data entry related to intake and client flow

  • Monitor and respond to centre emails and voicemails in a timely, professional, and empathetic manner

  • Conduct weekly site visits to the Sooke and Colwood locations

  • Plan, execute, and manage various centre programs, including workflow optimization and community initiatives

  • Monitor and report on program status, risks, and issues to the owner

  • Train and support the onboarding of new clinicians and interns, including HR tasks

  • Manage new inquiries and referrals, connecting clinicians with potential clients and managing waitlisted clients

  • Serve as a liaison between team members and the owner

  • Oversee social media, graphic design, and newsletter content

  • Maintain and develop relationships with existing and new referral sources

  • Assist with recruitment, screening candidates, scheduling interviews, and onboarding

Qualifications:

  • Education or experience in office administration and management

  • Familiarity with healthcare and/or mental health settings is an asset

  • Strong managerial skills and Human Resource experience

  • Excellent organizational, problem-solving, and time-management skills

  • Proficiency in Jane Practice Management software and Google Workspace

  • Excellent interpersonal, written, and verbal communication skills

  • Demonstrated discretion and sensitivity when handling confidential information (Criminal record check with vulnerable sector)

  • Ability to work independently and collaboratively in a small team setting

  • Understanding of privacy laws and regulations (e.g., PHIPA, PIPEDA)
