As a unit within the Division of Student Affairs, the Centre for Accessible Learning (CAL) is responsible for providing institutional leadership in the delivery of a comprehensive student-focused accessible learning model and delivers training and education to further the University’s commitment to provide equal access to all academic programs. CAL is a core academic support unit for both students and faculty and contributes to the recruitment and retention of students and fosters services and programs that value academic success, inclusion, accessibility, and universally designed environments.

Reporting to the Office Manager, the Front Desk Assistant acts as the first point of contact for students, staff, faculty and the public by consistently providing outstanding customer service and detailed information about CAL registration and services. This position is familiar with services and resources offered by other offices on campus and can identify and connect students with appropriate supports outside of CAL to ensure a seamless student experience. The Front Desk Assistant provides administrative support to management and the advising team, is responsible for a variety of in-person administrative duties and coordinates the CAL Full-Serve Notetaking Program. In order to inform new and current UVic students about CAL, this position engages in student outreach activities and provides orientation services to newly registered students.

Job Requirements

A minimum of one (1) year of experience in a similar position, preferably in a post-secondary, exam environment, or institutional environment, or an equivalent combination of education, training, and experience.

Preference will be given to applicants with:

  • Knowledge of University of Victoria campus, services and policies
  • Experience in a disability, counselling, mental health, or human service office
  • Knowledge of specialized Disability Centre scheduling/database software (Clockwork), or other database software.

 


Knowledge, Skills, Abilities:

  • Demonstrated knowledge of office administration and relevant best practices, obtained through experience, training or coursework.
  • Advanced proficiency with computer applications (i.e. MS-Office Suite, Adobe Create Suite, file management systems).
  • Consistently demonstrates service excellence including a compassionate and calm reception to students and others.
  • Excellent oral and written communication skills required for working effectively with all levels of the university community.
  • Ability to navigate sensitive issues in a tactful, diplomatic and trauma-informed way.
  • Cultural awareness and sensitivity when dealing with students.
  • Ability to work effectively both independently and in a team environment, collaborating with a broad range of people to achieve CAL goals and objectives.
  • Ability to work with a diverse group of students, faculty and staff, often in the context of emotional distress and/or crisis
  • Superior organizational skills with the ability to manage multiple, competing tasks and triage issues.
  • Ability to maintain a high level of confidentiality and professionalism.
  • Strong organizational skills with the ability to input data and handle sensitive information with a high degree of accuracy while managing frequent interruptions.
  • Ability to take initiative, organize workload efficiently.
