Description:
The Collège de l’Immobilier du Québec is seeking a full-time permanent Administrative Technician – Operations to join its team. Working from our Île-des-Sœurs campus, the successful candidate will perform various administrative tasks to support students, faculty, and internal staff. The role focuses on admissions tracking, processing educational contracts, and managing the inventory of course materials.
Create student profiles and enter contracts in the Clara financial system.
Manage invoicing, payments, receivables, extensions, and transactions via Clara and Moneris.
Maintain and update various Excel tracking sheets and databases.
Communicate with students regarding billing, payments, confirmations, and account updates.
Manage textbook inventory, including orders, reception, and monthly tracking.
Prepare and send educational materials and diplomas (handling up to 10 kg packages).
Oversee office supply orders for all campuses.
Validate supplier invoices and maintain pricing agreements.
Participate in events and special activities as needed.
Identify areas for improvement and suggest solutions for service enhancement.
Support the implementation of IT tools and best practices.
Provide assistance to other administrative technicians as needed.
Perform other related tasks as required.
Diploma of College Studies (DEC) in Administrative Techniques, Office Automation, Accounting, or a related field.
Minimum 5 years of experience in administration, specifically in billing, payment processing, and data entry.
Experience in school admissions (an asset).
Strong proficiency in Excel and solid knowledge of Microsoft Office and administrative tools.
Excellent French communication skills (spoken and written) and functional English for student interactions.
Familiarity with CLARA, Omnivox, or other student information systems (an asset).
Strong organizational and prioritization skills, with attention to detail and confidentiality.
Ability to work under pressure in a fast-paced environment and manage multiple tasks simultaneously.
Adaptability, teamwork, and strong interpersonal skills.
Availability for occasional travel to other campuses.
Physical ability to handle boxes up to 10 kg.

35-hour workweek, Monday to Friday.
