Responsibilities
- Oversee daily office operations, manage schedules, handle correspondence, and ensure the office is well-stocked with supplies.
- Serve as the primary contact for office staff, construction teams, vendors and external stakeholders for administrative support (AR/AP/Bookkeeping etc.), as well as for any email-related issues and troubleshooting for website.
- Support project managers by helping with scheduling, documentation, and communication through a financial support function.
- Ensure the office complies with company policies and industry regulations.
- Manage the maintenance and organization of the office space.
- Organize company meetings, events, and training sessions.
- Maintain accurate financial records, including managing accounts payable and receivable.
- Prepare and send invoices to clients, and follow up on payments.
- Process payroll and ensure employees are paid on time.
- Assist with internal and external audits by providing necessary documentation.
- Coordinate travel arrangements for senior leadership, including booking flights, accommodations, and transportation.
- Manage executive calendars, scheduling meetings and appointments to ensure efficient time management.
- Additional administration required by the leadership team.
Skills & Qualifications
- Bachelor’s degree or Diploma in accounting or Administration.
- At least 2 years of experience in a similar role within the construction or land development industry.
- Strong problem-solving skills and the ability to organize and manage multiple priorities.
- Good communication skills, both written and verbal.
- Experience collaborating effectively with others, both internally and externally.
- Familiarity with bookkeeping and the generally accepted principles of governmental accounting.
- Proficiency in using SAGE for financial management and accounting tasks.
- Numerical abilities and knowledge in double-entry bookkeeping.
- Proficiency in accounting software, Microsoft Office, and other relevant tools.
- Attention to detail, strong organizational abilities, effective communication, and problem-solving skills.
- Previous experience in bookkeeping, financial reporting, and administrative support.
