Administrative Assistant

 

Description:

The administrative assistant writes letters, reports, memos, and presentations. The incumbent posts various messages and screens management calls. He/she manages employee files (scheduling interviews, managing follow-ups, preparing files, managing OHS files), drafts recruitment contracts and transfer requests, and is in charge of the training calendar. The incumbent maintains the workplace infractions register, manages time clock data (reports, payrolls, etc.), and receives, sends, and distributes internal and external mail and faxes. Using the codes from the ledger, he/she makes purchase orders, reconciles them with the invoices, and sends them to the relevant director, as well as manages office supplies, helps out and solves problem at the checkouts, and maintains the list of vendor codes and cashiers. He/she distributes one-time passwords, prepares certain meetings, attends meetings (managers, OHS, loss prevention, working environment, etc.), and records minutes.
