Description:

Aon, a global leader in risk management, insurance, and professional services, is seeking a highly skilled and detail-oriented Administrative Assistant to join its Financial Services Broking Group (FSG) on an 18-month contract. This role supports the National Leader of FSG Broking and plays a key part in ensuring operational excellence and seamless executive-level support.

Applicants must be legally authorized to work in Canada. This role is not eligible for visa or work permit sponsorship.

Key Responsibilities:

  • Provide executive-level administrative support including preparing presentations, correspondence, and related materials.

  • Coordinate complex meeting logistics including budgeting, travel arrangements, room reservations, catering, and materials.

  • Actively participate in leadership meetings, capturing key notes and follow-ups.

  • Manage projects independently and maintain organized data across OneNote, SharePoint, and internal databases.

  • Provide backup support to other administrative assistants as needed.

  • Attend business town halls and maintain visibility with senior leaders.

Broking-Specific Responsibilities:

  • Assist with broking activities such as reviewing client information, preparing submissions and proposals for renewals and new business.

  • Liaise with insurers to obtain quotations and documentation.

  • Review documentation for new contracts, renewals, policy changes, additions, and deletions.

  • Support national initiatives and collaborate across cross-functional teams.

  • Contribute to a collaborative and productive work environment.

Qualifications & Skills Required:

  • Minimum 5 years’ experience in an administrative support role for senior leaders.

  • High school diploma required; post-secondary degree (associate or bachelor’s) preferred.

  • Advanced proficiency in Microsoft Office Suite and other digital tools.

  • Ability to compose materials from rough notes or contextual knowledge.

  • Strong organizational, communication, and interpersonal skills.

  • Excellent writing ability with keen attention to detail.

  • Ability to manage multiple priorities and work independently.

  • High level of discretion and confidentiality.

  • Proactive problem-solving mindset and professional demeanor.
