Description:
Aon, a global leader in risk management, insurance, and professional services, is seeking a highly skilled and detail-oriented Administrative Assistant to join its Financial Services Broking Group (FSG) on an 18-month contract. This role supports the National Leader of FSG Broking and plays a key part in ensuring operational excellence and seamless executive-level support.
Applicants must be legally authorized to work in Canada. This role is not eligible for visa or work permit sponsorship.
Key Responsibilities:
Provide executive-level administrative support including preparing presentations, correspondence, and related materials.
Coordinate complex meeting logistics including budgeting, travel arrangements, room reservations, catering, and materials.
Actively participate in leadership meetings, capturing key notes and follow-ups.
Manage projects independently and maintain organized data across OneNote, SharePoint, and internal databases.
Provide backup support to other administrative assistants as needed.
Attend business town halls and maintain visibility with senior leaders.
Broking-Specific Responsibilities:
Assist with broking activities such as reviewing client information, preparing submissions and proposals for renewals and new business.
Liaise with insurers to obtain quotations and documentation.
Review documentation for new contracts, renewals, policy changes, additions, and deletions.
Support national initiatives and collaborate across cross-functional teams.
Contribute to a collaborative and productive work environment.
Qualifications & Skills Required:
Minimum 5 years’ experience in an administrative support role for senior leaders.
High school diploma required; post-secondary degree (associate or bachelor’s) preferred.
Advanced proficiency in Microsoft Office Suite and other digital tools.
Ability to compose materials from rough notes or contextual knowledge.
Strong organizational, communication, and interpersonal skills.
Excellent writing ability with keen attention to detail.
Ability to manage multiple priorities and work independently.
High level of discretion and confidentiality.
Proactive problem-solving mindset and professional demeanor.
