Description:
Bullseye Security Inc. is seeking a highly organized, proactive, and detail-oriented Administrative Assistant to provide comprehensive administrative support and help ensure smooth day-to-day operations in our Niagara Falls office. This role requires strong experience with QuickBooks, Salesforce CRM, payroll processing, and making outbound calls to potential customers. The ideal candidate will be comfortable managing multiple priorities, handling confidential information, and contributing to a professional and efficient workplace environment.
Key Responsibilities:
Manage general office administration including email correspondence, scheduling, filing, and document management.
Maintain accurate financial records using QuickBooks, including invoicing, expense tracking, and bank reconciliations.
Process payroll, prepare pay stubs, and manage WSIB reporting requirements.
Prepare and maintain staff and client contracts, ensuring compliance and accuracy.
Keep Salesforce CRM data organized, accurate, and up to date.
Format and prepare reports, spreadsheets, and documents in Microsoft Word and Excel.
Schedule and coordinate meetings, take minutes, and track action items for follow-up.
Make outbound calls to potential clients and handle inbound customer inquiries.
Provide support for internal communications, basic HR functions, and customer service tasks.
Requirements:
Minimum 1 year of hands-on experience with QuickBooks and payroll processing.
Proficient in Salesforce CRM management.
Knowledge of WSIB reporting procedures.
Strong skills in Microsoft Word and Excel.
Excellent organizational skills with attention to detail.
Effective verbal and written communication abilities.
Preferred Qualifications:
Previous experience in the security or service-based industries.
Familiarity with Google Workspace.
Diploma or degree in Business Administration or a related field (optional).
