Description:

The Calgary Inner City Builders Association (CICBA) is looking for a dynamic and proactive Administrative Assistant to provide comprehensive support to its board, committees, and membership. This role is ideal for someone who enjoys working in a fast-paced, community-driven environment and has a strong ability to manage multiple tasks with precision and professionalism. This is a part-time position with potential to grow into full-time based on performance and organizational needs.

Key Responsibilities:

  • Attend and support monthly committee meetings (Membership, Marketing, Events, Awards, Finance, Board).

  • Schedule meetings, draft agendas, take minutes, and circulate meeting notes.

  • Send reminders and follow up on committee action items.

  • Act as liaison among committees and the Board, addressing concerns and resolving issues.

  • Support coordination of year-end Board strategic meetings and monthly board agendas.

  • Serve as first point of contact for general inquiries and email correspondence.

  • Maintain accurate membership records using Excel and Zoho database systems.

  • Onboard new members and provide administrative support.

  • Manage volunteer coordination for events and initiatives.

  • Distribute updates, newsletters, and announcements to members.

  • Work with web designer to manage website content, including member listings.

  • Collaborate with the marketing team to provide content for social media and newsletters.

  • Source and book venues for networking events, ensuring minimal costs and A/V requirements.

  • Set up events on Eventbrite, manage registrations, and support logistics.

  • Support planning and execution of the CUBE Awards program.

  • Reconcile monthly invoices and process financial tasks including cheques, payroll, and remittances.

  • Assist in creating budgets for socials and the CUBE Awards.

Requirements:

  • Proactive and self-directed work ethic.

  • Proven administrative experience in a support role.

  • Excellent organizational and multitasking abilities.

  • Strong communication, discretion, and interpersonal skills.

  • Team-oriented, adaptable, and comfortable in a fast-moving construction-focused environment.

  • Willing to commit long-term and grow within the organization.
