Job Description:
The Administrative Assistant will be responsible for performing secretarial tasks and providing technical support to the advisory team. This position is part of the FTQ's education service. The assistant will have a high degree of autonomy and initiative.

Responsibilities:

  • Perform administrative tasks such as preparing letters, reports, training materials, memorandums, and other documents

  • Format documents and ensure grammar, spelling, and syntax are correct

  • Follow up on service publications, liaising with designers or printers

  • Write routine correspondence, including meeting invitations, confirmation letters, etc.

  • Update the FTQ website

  • Manage logistics for events, such as seminars, workshops, and meetings

  • Assist with organizing FTQ congresses and travel when required

  • Prepare materials for events and activities, including arranging meetings, booking rooms, organizing meals, handling registration fees, and guiding participants

  • Manage advisors' schedules and arrange travel logistics

  • Respond to requests from affiliated unions during advisors' travel

  • Handle administrative tasks such as material sales, inventory, billing, and data entry

  • Manage incoming calls, emails, and correspondence, ensuring proper follow-up

  • Organize and file documents, ensuring compliance with archiving protocols

  • Collaborate with other departments for secretarial tasks

  • Use office software and Adobe suite (Word, Excel, Access, InDesign, Photoshop, Acrobat, Forms, PowerPoint)

  • Other duties as assigned by advisors or the general secretary

Required Qualifications:

  • DEC in secretarial techniques, office management, or equivalent

  • Relevant experience in administrative or secretarial functions

  • Excellent spoken and written French

  • Initiative, teamwork, good judgment in prioritizing tasks, and organizational skills

  • Strong writing and oral communication skills

  • Proficiency with Microsoft Office and Adobe suite

  • Knowledge of FTQ union structures is an asset

Salary Class:

  • The starting date is to be determined.

  • Temporary position for six (6) months.

  • Remuneration and working conditions according to the current collective agreement.
