ABOUT THE ROLE
Reporting to the Supervisor, Legal Operations and Business Services in Legal Services, is responsible for providing administrative support to the Section including email and calendar management handling sensitive political issues; processing accounts payable; preparing reports, minutes and presentations and correspondence; researching and compiling background materials and assisting with projects; tracking and monitoring project and program specific activities; entering data; responding to or redirecting inquiries/communications; reporting time and attendance, and responding to telephone enquiries.

 


WHAT YOU WILL BE DOING

  • Provides administrative support for ongoing projects, including researching and compiling background materials, maintains filing systems and records (email management).
  • Prepares agendas and minutes, correspondence, reports, presentations and communication materials; provides background material and/or briefing notes, as appropriate, for responses to inquiries and meetings.
  • Prepares, formats, proof-reads, edits or revises correspondence, reports, Excel spreadsheets and PowerPoint presentations.
  • Arranges appointments and maintains calendars, as required.
  • Processes and handles invoices, purchasing, accounts payable and expenses.
  • Ensures receipt and appropriate distribution of Regional fees and charge monies.
  • Responds to inquiries, resolves concerns, and ensures effective administrative and communication support with Regional staff, external agencies, stakeholders and members of the public.
  • Provides assistance in collecting and reporting of benchmark data.
  • Performs other duties, as assigned, in accordance with Branch and Department objectives.

 


WHAT WE ARE LOOKING FOR

  • Successful completion of a Community College Diploma in Business Studies or related field or approved equivalent combination of education and experience.
  • Minimum three (3) years progressively responsible administrative/secretarial experience in an automated office environment.
  • Knowledge of relevant legislation and municipal organizations.
  • Knowledge of general office procedures, including taking minutes, preparing correspondence, and electronic/manual records management file systems, including security measures.
  • Computer literacy utilizing MS Office software applications.
  • Knowledge and demonstrated ability in corporate core competencies including communication, innovation, teamwork and collaboration, and personal ownership.
