Description:
We count on your expertise and excellent client service to provide various administrative support, including, but not limited to: Arranging meetings with a wide array of stakeholders; Preparing meeting materials, taking minutes and preparing meeting reports; Preparing, reviewing, amending and coordinating daily incoming and outgoing correspondence, Working closely with the Office Manager on general office administration tasks such as managing office inventory, receiving mail, greeting guests, answering phone calls and monitoring the general email account and directing inquiries as needed; Fulfil back-up duties for both the Office Manager and the Administrative Assistant (Secretary 3) to the Executive Director; Maintaining accurate records of documents and bring-forward tracking systems; Maintaining a filing system in accordance with government records management policy; and Interacting with clients, service providers and staff in person or by phone; Qualifications and Experience Grade 11 plus one year business course and three (3) years of related experience. An equivalent combination of training and experience may be acceptable. You have demonstrated excellent client service skills and a proven ability to effectively deal with people both in person and by phone. You can work effectively under pressure and independently in this fast-paced environment. You have a high degree of organizational skills, which is required to determine priorities with minimal supervision in a busy environment. You must be able to carry out duties with minimal supervision.
