Description:

Fraser Health Authority is seeking a Clerk/Unit Aide to join the Home Health team in the beautiful Tri-Cities area, which includes Coquitlam, Port Coquitlam, Port Moody, Belcarra, and Anmore. This role provides both administrative and clinical support to ensure smooth day-to-day operations of Home Health offices while maintaining a high standard of patient care and service.

The successful candidate will perform a variety of clerical, reception, and support duties — from assisting with client intake and appointment booking to maintaining medical supply inventories and sterilizing medical instruments. This is a vital role that helps connect clients with care and keeps health services running efficiently.


Key Responsibilities:

Administrative Support

  • Provide reception services, including answering phones, directing calls, greeting visitors, and handling inquiries.

  • Set up and maintain filing systems for client records, correspondence, reports, and other documents.

  • Assist with client intake by scheduling appointments, completing required documentation, and updating client data in electronic health systems.

  • Prepare and type correspondence, reports, and documents using word processing software.

  • Process mail, faxes, and courier packages, maintaining proper recordkeeping for all incoming and outgoing communications.

  • Organize and schedule meetings, prepare agendas, record minutes, and distribute notices.

  • Enter and reconcile client care and service data into computerized systems for home support coordination.

  • Compile and maintain statistical reports as required for nursing assignments and program tracking.

  • Support colleagues with office equipment and software use, performing minor troubleshooting or maintenance when needed.

Medical and Supply Support

  • Maintain stock levels of medical and office supplies by processing requisitions, receiving orders, and ensuring accurate distribution.

  • Clean, sterilize, and organize medical instruments and equipment in compliance with established safety and infection control procedures.

  • Coordinate repair and maintenance of medical equipment; ensure all materials are correctly labeled under WHMIS regulations.

  • Manage the central medical supply room and maintain organized, clean, and well-stocked supply areas.

  • Deliver supplies and medical equipment to and from hospitals, depots, and client sites when needed.

Other Duties

  • Coordinate off-site storage of medical records and archives, ensuring accurate tracking and retrieval when required.

  • Perform other clerical or operational support duties as assigned by supervisors or management staff.


Qualifications:

Education:

  • Grade 12 completion

  • Office Administration or Medical Office Assistant Certificate required

Experience:

  • Minimum 1 year of recent, relevant experience in an administrative or clerical healthcare role

  • Experience with medical terminology and general office procedures preferred

License:

  • Valid BC Driver’s License and access to a personal vehicle for work-related travel


Skills and Abilities:

  • Excellent verbal and written communication skills

  • Strong organizational, prioritization, and multitasking abilities

  • Proficiency in data entry and use of computer software (e.g., MS Office, health databases)

  • Ability to type at a minimum speed of 50 wpm

  • Knowledge of medical terminology and sterilization procedures

  • Ability to work independently and collaboratively within a team

  • Strong interpersonal skills to build rapport with clients and colleagues

  • Physical ability to perform job duties (lifting, cleaning, organizing supplies)
